Updates to Payment recording

We are happy to introduce a revamped payment recording on invoices, in an effort to both make this process more user friendly, and less prone to payment errors.

The most noticeable change is upon creating a payment, instead of the Transaction Complete notice, you will now be brought to that client account, with a message indicated the payment has been recorded.

Another option that has been added on user request, is to record payments made by bank transfer, this option is now available as a payment type.

By far the biggest source of customer support requests, are transactions gone wrong. In an endeavour to simplify this, we have added the facility to reverse payments, which will be removed from transactions, and the amount credited back to the invoice.  In a case where it really gets messed up, you can also delete the invoice, which will clear all associated transactions. Please exercise caution with these new options, they cannot be undone once deleted.

Audit Trail
This revised system is due to unprecedented levels of customer enquiries with payments that were recorded in error, however while the ability to do so is now available, we will be refining the system so that reversed transactions are still present in the system, but balanced by a counter transaction that will be invisible on the UI.

Further updates will include proper refund handling and more accurate reversal tracking with an optional note on reason for reversal.

Also, we have improved the invoice selector to properly update the invoice amount and payment amount when selecting the invoice you wish to pay.

For our current users, most of these are welcome changes and implemented upon suggestion, so as always we hope this speeds up your day makes life easier for you.

NEW: Use local Inventory for autocomplete

Our autocomplete feature saves a lot of time but the list has grown and has many duplicate entries as our user base has grown.  We recently added improved local inventory support, and are now taking this a step further.  You can still choose to use the global list to build your local inventory, as you select parts they will be copied to your local inventory.


Other updates include being able to completely switch off global autocomplete and manage your stock independently. In this case any new parts added on an invoice, or on the Inventory screen, will be added for use in your local inventory and autocomplete.

If you are using the global autocomplete and stock management, you need to ensure you are selecting the corresponding part that has previously been added to your local inventory, admittedly this can get confusing, so it may be easier to decide on using global and switching it off after Inventory is built up with your most used parts.  The global list will still be useful to new users.

NEW: Add client notes and reminders

You can now add internal client notes and reminders to your clients.  You can do this from the revised client dashboard screen as below.



You can enter simple notes and reminders here for internal use, this information is not shown to your customers it is an internal note on auto repair software.

New & improved Sales Reporting and Inventory Management

July has been a busy month here as we roll out some nifty new features and improvements.  Our new Sales Reporting suite is now a lot more comprehensive, and includes a long requested feature of being able to view sales data over a date range, but we decided to take it a step further and give you a little more.


Our new Sales Reporting also shows your tax liabilities, and can be calculated for any range of time you need. Our auto repair software now also the addition of the new parts sales and profit reporting, currently in beta, the parts sales are calculated on pre-markup and pre-tax figures and profits are calculated with addition of labor costs to profit on markup of parts.


Our Inventory system has seen some refinements and usability improvements, you can see the total cost tied up in stock, including by vendor or search, so you can easily  see everything in stock any way you like it.

Vendor management now has the much needed and requested ability to edit, sorry about the delay on this one folks!

NEW! See your tax due on Sales Reports

We are making our way through our many planned upgrades this summer, and getting  through some of the more popular user requests for upgrades to our auto repair software. We are happy to announce the launch of reporting on sales tax for the current and previous month on the Sales Reports.


The tax liability area shows two totals for the current and previous month, on the left is the total for all invoices created in the period and on the right there is the total for payments received in that period.

NEW: Updated record storage for historical data

Many requests from customers have been to store historical mileage data on invoices.  This was previously managed by the vehicle log, and did not maintain a historical mileage record on individual invoices. This has now been changed so that all mileage information is now stored per invoice individually at the time of invoice creation.

We will be adding this to quotes and repair orders soon also.

Another aspect of our auto repair software we are looking at giving an overhaul is our inventory system, which is getting a review also, and we will be introducing a more feature rich tracking of cost of sales and profits on parts, other features we are considering here are part purchase dates. NEW: Updated & Improved support for multiple vehicles

Once again we are happy to respond to user demand and trouble spots, managing multiple clients  had been cumbersome for many new and existing users.  The system of linking clients was a little awkward in retrospect, but thankfully laid the ground work for us to step with this upgrade, preserving all your existing linked client data.

Newly added clients with the replaced Add client feature, will as always be displayed and searchable through your master client list.  Please notice we are no longer listing by licence plate, as many users do not enter this info, in place of this we have added a more sensible Car Make , Model , Year selection as an overview of the vehicles belonging to a client.

This is probably easier demonstrated than explained, so we have prepared a short youtube video to show how easy it is to add multiple vehicles with our new UI tweaks.

NEW: Improved inventory and markup on parts

We are happy to bring you even more functionality to our inventory and  parts sub system, you may notice on invoice creator that you can now add the markup percentage you wish to apply to a given part.

The Inventory system of our auto repair software has been updated to efficiently handle multiple markup options, you can enter a markup for part in your inventory that will be automatically applied when you invoice out that part from stock.

It is also possible to set a vendor markup rate, applying this markup rate to all parts from this vendor when a part is invoiced.

Upcoming updates will provide stock reporting on Inventory in PDF format for stock taking or general review.




QuickBooks integration is here!


Requests for integration with QuickBooks has by far been the most requested feature from our users and interested parties, topping the polls consistently.

We are happy to bring you a fully functional QuickBooks Online integration which went live in the early hours of last night.

Our initial implementation currently only supports the QuickBooks Online service, and we are working to get a solution for the Desktop version in the coming week or two.

So, what can you do with our auto repair software and QuickBooks Online?

  • A one-time activation must be done with QuickBooks Online to authorize Auto Repair Bill to manage your QuickBooks data.
  • All newly created invoices and customers on Auto Repair Bill will be sent in realtime to your QuickBooks Online account.
  • New users can import their existing customers from QuickBooks Online into Auto Repair Bill, and have a starting set of clients to work with after signing up.
  • Existing users can export all their historical client and invoice data from Auto Repair Bill into QuickBooks Online, using a one click process.
