We have been working hard on customer requests for our auto repair software, and some of our own ideas since the new year. This new release brings PDF client statements, which are now also customisable by date range. You can now very quickly and easily create an invoice from a complete Repair Order, it is a breeze to do this now, the invoice is pre-filled with the information provided in the RO, i.e. all labor and part items are accounted for on the invoice, along with amounts, which are then auto-calculated, this can obviously save a lot of time when a job is complete, a mere click of a button! Please see the video tutorial on creating repair orders from an invoice.
Watch in the following video how easy you take an existing, complete RO and convert it directly into full invoice in mere seconds. It will auto-fill all fields on the invoice, and auto calculate the total for the bill, you will still need to set the appropriate tax rates where needed.
We are adding this to our to do list of features on the way, we recently published the most requested features from our competition, and are busy on the way towards implementing these upgrades for our automotive invoice software.
As the system currently stands, each new vehicle is created as an individual account, this can make it difficult when trying to manage a customer that has more than one vehicle registered on the system. We plan to introduce the ability to link customers. This will enable our recently added customer statement feature to list all, or a selection of vehicles belonging to a client on one statement, which has obvious advantages for both you and your customers to see where they stand with their auto repair bills.
We recently held a facebook competition to gain insight into what our customers would like to see in our auto repair shop software. Many thanks to all those who took part, providing many valuable suggestions, which we are taking on board on a priority basis by demand, and congratulations to our winner of a one year unlimited acccount, Denis O’Carroll, we hope you are happy!
While many suggestions were made, minor and major, we have compiled the following shortlist of next to be added features:
- Vendor/Inventory management and better control of part costing.
- Repair Order history on the client dashboard.
- Automated reminders, for unpaid invoices, and to send for service reminders.
- Sales/Income reporting and charts.
- More video tutorials.
The RO history is likely the first of the above that we will tackle, as we update the software we will, as always, keep you informed and up to date on new feature rollouts here on our blog and our facebook and twitter profiles.
For some users it can be bewildering to see the many options when first logging in, for this reason we have created this short video to get you up and running with our auto repair shop in no time.
The first thing you will want to do after logging in is to update the Settings for your business, where you can add your contact details, logo, set tax rates and other options required for running the software per your requirements.
To clear the intro screen, you simply click the red Continue button which will bring you to the regular login dashboard, giving you an overview of outstanding invoices and upcoming bookings.
Once you are all setup with your company information, you can begin adding clients, and then invoices once you have created a client.
There is also a link to this video on the welcome screen after you login for the first time after registration.
Firstly, thanks to the folks who contributed bug reports and feature suggestions for our auto repair invoicing software over the months, we take all comments into consideration and always have more on the way!
Numerous bugs in navigation have been resolved, searching for clients by name has been fine tuned, as well as some issues on the Bookings management. We have revamped our Repair Order screen, many felt this was cluttered, it is now much clearer and improved upon, as well bringing as-you-type part prediction, which we also will be implementing soon for labor items on repair orders.
By far the largest request in recent times has been for client statements, to print of an overview of a client’s account, with all transactions on their account, i.e. invoices sent, cash, checks, paypal payments received, and any adjustments to payments on the account. For auto repair shops that have large clients with much repeat work will find this useful, as will your clients that may require such for expenses and accounting purposes. Our client statement feature is in it’s infancy, and there will be upcoming refinements in coming weeks, including PDF, and down the line a custom statement generator, which can be spread over date range and also combine multiple vehicles that belong to one client, as ever, Stay Tuned!
When emailing an invoice to a customer, or handing them a printed copy, there is a link for the customer to pay you directly via a link on the invoice, which will take them to PayPal, where they can pay for the due invoice.
With checks on the decline, and more are going digital with paying for goods and services, you can now offer this option to your customers also, without the expense of card readers and other hassles with accepting credit cards, we want to make it as easy as possible for you to get paid from your clients.
Each Invoice also has a link to make a booking for next service or general booking.
See the video below for how easy it is for your customers to pay you!
Repair Order clock-in and clock-out is available on web app and our smartphone app for auto repair invoicing.
After you create a new RO, you can manage from RO dashboard on web or phone, or alternatively printed RO’s also have a QR code, that can be scanned to check in.
Below is the web app RO dashboard. The green clock is to clock in to RO and begin work, this will update to the current time, similarly the red clock out icon clocks out and marks the current time.
Also, you can use our mobile app to clock in and clock out, by select Work Orders from the app navigation:
Additionally, printed copies of RO’s are available with barcodes that can be scanned to clock in/out.
