Auto Repair Bill has many subtle, powerful features that are often easy to overlook.  Most features in our software are interconnected and feed into each other in a natural flow, this may not be obvious just by casually using or looking at the app.

In this post we intend to demystify and debunk some of the inner workings, showing you how to get to maximise productivity and save time on data entry.

For maximum efficiency, set your labor rate. Use the QUIK Service for vehicles requiring scheduled maintenance, add the desired items to the repair order, then make any adjustments you need in the RO editor, when the job is finished, the One Click invoice button will produce a fully costed and prepared invoice to give to your customer.

1) Streamlined, Every repair document can be converted into an invoice with one click


Below you will see the Repair Orders screen, note the highlighted icon, this will instantly convert the select repair order to a chargeable invoice with one click, auto calculating the total labor and adding parts for you to preview and edit before saving. Labor line items from a repair order will be formatted to the labor field on the invoice, with a total calculated.

You can do exactly the same in our auto repair software with an Estimate, with one click invoice creation to convert a quote to an invoice.

2) Set your labor rate in settings

Setting your labor rate in Settings allows Repair Order and invoices to calculate labor costs based on time involved on a job, this particularly speeds up RO creation.

3) One click QUIK Service for Invoices and Repair Orders

The QUIK service feature is a very simple way to create an RO or Invoice for a vehicle by entering VIN, mileage, date since last service, and you will be presented with a list of scheduled maintenance items from manufacturer, you can opt to chose which items you wish to add to your document.

Getting started – What to do when you sign up

For some users it can be bewildering to see the many options when first logging in, for this reason we have created this short video to get you up and running with our auto repair shop in no time.

The first thing you will want to do after logging in is to update the Settings for your business, where you can add your contact details, logo, set tax rates and other options required for running the software per your requirements.

To clear the intro screen, you simply click the red Continue button which will bring you to the regular login dashboard, giving you an overview of outstanding invoices and upcoming bookings.

Once you are all setup with your company information, you can begin adding clients, and then invoices once you have created a client.

There is also a link to this video on the welcome screen after you login for the first time after registration.

 

Be Ready for Digital Payments, Get Paid with Paypal

When emailing an invoice to a customer, or handing them a printed copy, there is a link for the customer to pay you directly via a link on the invoice, which will take them to PayPal, where they can pay for the due invoice.

With checks on the decline, and more are going digital with paying for goods and services, you can now offer this option to your customers also, without the expense of card readers and other hassles with accepting credit cards, we want to make it as easy as possible for you to get paid from your clients.

Each Invoice also has a link to make a booking for next service or general booking.

Easy time management, Repair Order clock in/out

Repair Order clock-in and clock-out is available on web app and our smartphone app for auto repair invoicing.

After you create a new RO, you can manage from RO dashboard on web or phone, or alternatively printed RO’s also have a QR code, that can be scanned to check in.

Below is the web app RO dashboard.  The green clock is to clock in to RO and begin work, this will update to the current time, similarly the red clock out icon clocks out and marks the current time.

Also, you can use our mobile app to clock in and clock out, by select Work Orders from the app navigation:

Additionally, printed copies of RO’s are available with barcodes that can be scanned to clock in/out.

Video Tutorial #3: Easily convert an Estimate to an Invoice

We have updated our Estimate and quote tool to now allow you to edit existing quotes using our auto repair invoice software, and also when a job is finished, an invoice can be created directly from a quote with a single click! See it in action in the video below, you still have the option to edit the invoice before committing the final copy of the invoice.

Our updated Repair Order management and time management has been implemented on both our web app and mobile in our repair shop software. You can now easily create RO’s using the same part prediction as used in our invoice and quote creator. Our revamped user interface now makes it much easier to work with and create repair orders.

There are many time tracking option for Repair order completion, printed repair orders have barcodes that can be scanned with a smartphone to clock in or clock out of a job.  Furthermore, and more conveniently repair order time management can be done through our smartphone app to clock in and out of jobs also.
