NEW! Retain access to your data with an inactive account

We never want to lose our financial data, or access to it, and many other online services cut you off completely after non-payment, we don’t agree with this.  From now on, even after your account has expired, you can still login, view and download your data and documents.  If you decide you wish to have full access to your account again, you can simply go the Billing page and select a new payment plan to re-activate the rest of your account.

With an inactive account, you will see a message letting you know and a link to the Billing page to re-activate, please note you cannot create any new documents such as invoices, quotes, bookings, or repair orders until you make payment on your account with a renewed subscription to our auto repair invoice software.

New: Order parts from your local motor factor

You can now order parts directly from our auto repair invoice software, the parts you have used will appear on the Inventory screen, to get started you need to create one or more vendor profiles.  You can then set stock levels, and set the threshold for ordering new parts.  You simply enter the Re-order amount, make any required changes to part name, and an email will be sent to the vendor for you to pick up parts at a later arranged time. When sending email for parts order to the motor factors, you will also receive a CC of the email sent for your own records, or for printing.

It is now easy to manage your suppliers, parts and stock.  You can set your stock levels, and these will be updated when you create an invoice. You can manager your vendors and suppliers here also.  Parts you have used previously, and add from now on will appear in your inventory, you can choose to create vendors and update the listed parts with the appropriate vendor once you have created a few vendors to work with.

You can also directly email your auto repair parts supplier directly from the app, and send an email ordering more parts.  This is something we intend to automate in the future, i.e. notifying you when stock levels with a vendor have reached, or are approaching zero. Along with this we are building an automated parts order document, listing the parts, quantity required, and for your own benefit, showing you the cost of parts you need to order, this order sheet can then be emailed or printed. We hope to have this new feature of our auto repair invoice software ready in the coming week or two.

We are working on integrating this with the Repair Order creator, to let you know if you do or do not have the required parts in stock, with the option to order the required parts, this will be coming shortly.

The article argues the interesting point where pen and paper of making do with excel alone is not enough to efficiently manage your workshop. New: Improved client dashboard and sales reports

We have revised the client dashboard to provide sales reporting, including total sales and YTD sales from that customer. This screen has also been made easier to read and highlight money owed.

New: Google Contacts for new customer entry

We are working on further Google integration for our auto repair invoice software, and now when you link your Google account, adding new customers can look up your Google contacts to auto-fill data such as name, phone number and email address.

If you sign in with your Google account, this feature will be available to you, otherwise you can link your Google account to the Settings page of the app.

We are working on Google Drive backup for PDF copies of your invoices via the export feature, which now supports exporting data to Sage.

New: Sync your Bookings with Google Calendar

You can sync your Bookings management with your Google Calendar, when you create, edit or delete a booking in our auto repair invoice software it will automatically update your Google Calendar with the changes.

This requires that you have linked your Google Account to AutoRepairBill, which can be done by Sign in with Google when you login, or by linking your Google Account from the Settings screen.

We are looking into other features of Google APIs, some of our thoughts are:

  • Auto-complete for adding new clients, using Google Contacts API
  • Auto-backup/save/export all PDF invoices to Google Drive
  • Add reminders to Google Calendar

We have upgraded our data export feature of our automotive repair invoice software to now include exporting to Excel, and now additionally also Sage.  You can export to Sage 50 2011 (v17) and later by using our export feature, either by date, or exporting all data in bulk.

There is also detailed instructions on how to import the generated data files into Sage once you have downloaded them.

The Sage 50 records produced are:

  • Customer Records
  • Project Records
  • Project Transaction Records

On the customers records export file, you will need to specify the nominal ledger to use for your Sage installation, you should edit this in excel, or while using the import wizard, there are detailed instructions available when you are downloading exported data from this app.

Easy time management, Repair Order clock in/out

Repair Order clock-in and clock-out is available on web app and our smartphone app for auto repair invoicing.

After you create a new RO, you can manage from RO dashboard on web or phone, or alternatively printed RO’s also have a QR code, that can be scanned to check in.

Below is the web app RO dashboard.  The green clock is to clock in to RO and begin work, this will update to the current time, similarly the red clock out icon clocks out and marks the current time.

Also, you can use our mobile app to clock in and clock out, by select Work Orders from the app navigation:
