Android app updates

We have added several new features to our Android app, the licence plate scanner with Carfax integration has finally been released and is quite cool folks!

We have added a lot of useful features in Work Order management. You can now add photos to a work order directly from the app and view and manage on web app. The tick icon will bring up the signature screen for the customer to sign, and the new camera icon allows you to take pictures and upload for use in the web app.

Work orders can now also be digitally signed by customers, they can sign on-screen, and the signature will be placed on the work order PDF, to either digitally store, or to print for record keeping.  Aside from convenience, this can also help your company to reduce their carbon footprint and save on printing, paper and storage costs.

We have  a redesign in the works to modernize the look of our app and we are considering a port for iOS later this year.

Beneath the surface, the inside view

Auto Repair Bill has many subtle, powerful features that are often easy to overlook.  Most features in our software are interconnected and feed into each other in a natural flow, this may not be obvious just by casually using or looking at the app.

In this post we intend to demystify and debunk some of the inner workings, showing you how to get to maximise productivity and save time on data entry.

For maximum efficiency, set your labor rate. Use the QUIK Service for vehicles requiring scheduled maintenance, add the desired items to the repair order, then make any adjustments you need in the RO editor, when the job is finished, the One Click invoice button will produce a fully costed and prepared invoice to give to your customer.

1) Streamlined, Every repair document can be converted into an invoice with one click


Below you will see the Repair Orders screen, note the highlighted icon, this will instantly convert the select repair order to a chargeable invoice with one click, auto calculating the total labor and adding parts for you to preview and edit before saving. Labor line items from a repair order will be formatted to the labor field on the invoice, with a total calculated.

You can do exactly the same in our auto repair software with an Estimate, with one click invoice creation to convert a quote to an invoice.

2) Set your labor rate in settings

Setting your labor rate in Settings allows Repair Order and invoices to calculate labor costs based on time involved on a job, this particularly speeds up RO creation.

3) One click QUIK Service for Invoices and Repair Orders

The QUIK service feature is a very simple way to create an RO or Invoice for a vehicle by entering VIN, mileage, date since last service, and you will be presented with a list of scheduled maintenance items from manufacturer, you can opt to chose which items you wish to add to your document.

We have been quietly working on some major upgrades in the shadows, and are now almost ready to release the fruits of our efforts!

Labor Rates

Firstly, many of you had asked about labor rates and time costing in the past. We are happy to announce that this has been addressed now. You can enter your invoice time as either time or cash value for your labor, similarly when creating Repair Orders, you can enter labor in hours and automatically calculate labor cost.

For labor cost calculations to function you must enter your labor rate in Settings, you can also conveniently look up the local labor rate in your area by ZIP code.

QUIK Service

Creating a QUIK Service is a breeze. Basically, you go about creating an RO or Invoice as per normal.  Given that the vehicle VIN is supplied, then you see a list of service items, and can refine by mileage and time since last service.  This is a massively time saving function, please see the video above for a demonstration of QUIK Service in our auto repair software.

Pick the service items you wish to add to RO or Invoice, and viola, a fully created, costed and calculated document is produced in seconds!

You can create an invoice using the QUIK service in  a very similar fashion as to creating an RO using QUIK Service.

These new updates are expected to be released later this week, so as ever, stay tuned and watch this space.

Improved Repair Orders, full timelogs

We have revamped our Repair Order time tracking and management feature of our auto repair shop software, and given it a complete overhaul.  It is now more detailed and more flexible, you can now resume a job a clock-in again after previously clocking out; up until now once clocked-out, a repair order was deemed closed.  This has changed now and you can easily clock-in again to resume work, e.g. after a lunch break, or resuming the next day.

Full time logs are now available for all RO’s, showing timestamps of each clock-in/out.  This gives you great flexibility to monitor employee/business performance on jobs, such as estimate vs actual time taken on a job, and allowing for you to bill more accurately if a job takes shorter or longer than estimated.  Time logs also add accountability as to who was working on what and when, always useful in dispute resolution!

Date & time localization

We are happy to roll-out proper date/time localization, due to many requests to alter the default display format of the date on printed/emailed documents.  We have also added the ability to set your preferred timezone.

Current options for the date allow for US and UK standard formats of MM/DD/YYYY and DD/MM/YYYY repectively.

Your timezone gets detected automatically when you sign up, but in some instances this is not accurate, e.g. if your computer clock is not set to right time, then you can now easily manually correct this and select the zone you want to use.

The corrected timezone feature allows for more accurate timing across the board, from correct timings on clock-in/out for Repair Orders in the right time zone.  Bookings will now be guaranteed to be in the right time zone also.

You can find both these new options in the Settings page under System Settings in our auto repair shop software.

NEW: Check labor rates by ZIP code

We are glad to announce the arrival of labor rate lookups. You can look up your local labor rate by ZIP code in the United States.

You can currently find the labor rate calculator in the Settings screen under System Settings. In the coming weeks we plan to introduce automatic labor calculations for repair orders and invoices, this will be done using a system setting, which can be the local labor rate for your ZIP, or a value you may wish to decide yourself.  You will also have the option to override the default labor on any document if needs be.

We have also added the option to show or hide your TAX ID on display for invoices.  Other minor additions to settings include ability to remove QR codes from repair orders from documents on our auto repair shop software.

NEW! Add images to Repair Orders

Once again in response to user requests, we are responding with one of your latest requests.  Many people had noted two issues with the RO Writer, the lack of ability to edit an RO, and no option to upload photos  to attach to RO. We have addressed both these issues now. Another refinement to the RO Writer in our auto repair shop software is auto-prediction now also works for labor items, and not only parts alone, as was the case until now.

You can now easily revisit, edit, and update an RO as you carry out your work. The photo uploader is fast and flexible, and there is no limit on how many photos you can upload for a repair order.  We will be updating our mobile app in due time, to allow photos to be taken with our app and directly uploaded.  For the moment the web app can take photos by clicking Add Files on the Repair Order writer page, on Android, clicking this button will allow you to select the device camera to upload an image.

NFC Time management for mobile app

Time management and billing accordingly can be a hassle, and all of us forget or lose track from time to time.  As it is, we have covered this in many areas of our automotive invoice software, with the existing Repair Order management screen, for clock in/out on PC, along with our android app for clocking in/out on the go.

NFC for time management? We are considering adding this to our app, you can use stickers, keyrings, wrist bands, lots of different ways to clock in/out!

And wouldn’t it be easier to simply tap your phone against a sticker to clock in and out?  The one disadvantage foreseen here is that for NFC to work, it is usually on the back of the phone, and hence the phone needs to be removed from any casing to make contact with the NFC surface, we welcome your thoughts on this issue in the comments?

New features: PDF Client statements & create invoice from RO

We have been working hard on customer requests for our auto repair software, and some of our own ideas since the new year. This new release brings PDF client statements, which are now also customisable by date range. You can now very quickly and easily create an invoice from a complete Repair Order, it is a breeze to do this now, the invoice is pre-filled with the information provided in the RO, i.e. all labor and part items are accounted for on the invoice, along with amounts, which are then auto-calculated, this can obviously save a lot of time when a job is complete, a mere click of a button!
