As you can imagine, we asked the same questions quite often, so we have began compiling an FAQ (Frequently Asked Questions) page to address some of the most common concerns and issues raised from new and existing customers. We will be updating this with time and relevancy as our software continues to grow in scope and complexity.
We would also like to remind our users that our youtube channel has many useful instructional videos as well as a walk-through tour.
Our customer support team are always just an email away for any new and existing customers who may need assistance in becoming familiar with our software.
Auto Repair Bill has many subtle, powerful features that are often easy to overlook. Most features in our software are interconnected and feed into each other in a natural flow, this may not be obvious just by casually using or looking at the app.
In this post we intend to demystify and debunk some of the inner workings, showing you how to get to maximise productivity and save time on data entry.
For maximum efficiency, set your labor rate. Use the QUIK Service for vehicles requiring scheduled maintenance, add the desired items to the repair order, then make any adjustments you need in the RO editor, when the job is finished, the One Click invoice button will produce a fully costed and prepared invoice to give to your customer.
1) Streamlined, Every repair document can be converted into an invoice with one click
Below you will see the Repair Orders screen, note the highlighted icon, this will instantly convert the select repair order to a chargeable invoice with one click, auto calculating the total labor and adding parts for you to preview and edit before saving. Labor line items from a repair order will be formatted to the labor field on the invoice, with a total calculated.
You can do exactly the same in our auto repair software with an Estimate, with one click invoice creation to convert a quote to an invoice.
2) Set your labor rate in settings
Setting your labor rate in Settings allows Repair Order and invoices to calculate labor costs based on time involved on a job, this particularly speeds up RO creation.
3) One click QUIK Service for Invoices and Repair Orders
The QUIK service feature is a very simple way to create an RO or Invoice for a vehicle by entering VIN, mileage, date since last service, and you will be presented with a list of scheduled maintenance items from manufacturer, you can opt to chose which items you wish to add to your document.
We are happy to bring you even more functionality to our inventory and parts sub system, you may notice on invoice creator that you can now add the markup percentage you wish to apply to a given part.
The Inventory system of our auto repair software has been updated to efficiently handle multiple markup options, you can enter a markup for part in your inventory that will be automatically applied when you invoice out that part from stock.
It is also possible to set a vendor markup rate, applying this markup rate to all parts from this vendor when a part is invoiced.
Upcoming updates will provide stock reporting on Inventory in PDF format for stock taking or general review.
One of top user requests has been for QuickBooks support, and we have been beavering away getting this in place since the new year.
We are happy to say that we now have a functional implementation with QuickBooks Online in place now, still in ‘sandbox’ development, you may have seen QuickBooks appear and disappear in parts of the UI in the past few weeks, this is just a peak of what is yet to come.
Currently, when activated, all new invoices and clients will be exported into QuickBooks.
For existing users, there exists an ability to export all your Auto Repair Bill customers and invoices to QuickBooks Online.
New users can import all there customers from QuickBooks online into Auto Repair Bill.
Our integration will need to be reviewed and approved by QuickBooks before we can make this feature can go live on our app.
Speed is everything when a customer is waiting, and we are moving our app to a new blazing fast server based in Michigan, USA. As an Irish based company we had so far enjoyed giving our business to local hosting providers. To better serve our US customer base, we are relocating our primary servers to a data center located in Michigan.
Our new US data center will see massive speed improvements, we have invested in more CPU power and RAM, as well as increased bandwidth. All this translates to our auto repair software having super fast page loading and PDF generation.
This will benefit our users in USA and Canada the most, but users worldwide will see massive speed increases also due a co-located server solution.
SERVER UPGRADE: FRIDAY 12 FEB 8pm – 10pm EST Please note that while the upgrade takes place, the app will be briefly unavailable intermittently.
QuickBooks support is another highly requested feature, and we are finally getting around to implementing a seamless solution for our auto repair software.
Initial support is planned for QuickBooks Online, and be fully integrated with any action you take on Auto Repair Bill that needs to be uploaded and recorded. We may add support for the Windows QuickBooks version in the future, if there is a demand for this. Please do get in touch if you are a user interested in using with Windows version.
We expect to have this online in a few weeks, as always stay tuned and watch this space!
Another much requested feature from our users has been the ability to add a discount to the total cost of an invoice. This is useful with irregular amounts and the client pays with cash, or just wanting to round the price after calculations are done on invoice.
You can now easily enter your discount amount when creating an invoice.
As our users know, we love feedback! In 2015 we brought many new features and upgrades including service histories, servicing guides, improvements to invoicing and repair orders.
We are working our way through the current set of requests we have received, and the following features are planned in the coming months:
Price markup on parts, from inventory or settings, and can be overridden on invoice creator
Further flexibility on invoice creation with more options and customisations
Mobile/Tablet app development and improvement
Integrate with parts ordering online services
Client import from CSV, Excel file, possibly also from Google Contacts.
Backups to cloud services including Google Drive and Dropbox, OneDrive
Integration with bookings and Microsoft Calendar
More detailed reporting and possibly an Activity Stream to show recent actions on the software
We would like to thank all those who took the time make suggestions and critique our software, and always welcome more, so if you have anything in mind you would like considered, please drop us a line or leave a comment!
We are taking on board the combined requests of our customers over the last few months to develop new and more flexible invoice templates. For users that are happy with the way things are, there will be no change. For those who want more options, we will be adding a second, and possibly more invoice templates in the coming days.
In the meantime, this is what we have so far, but we are still tweaking!
